Job description
Role Summary
This role encompasses;
- Leading a team involved in the financial processing and retrospective review of holiday bookings.
- Leading the audit of customer holiday bookings and branch procedures.
- Responsible for the review of ledgers and ensuring travel bookings and accounting records are accurate and associated reporting has financial integrity.
- Managing risk on travel bookings and financial processes in line with group policies.
- Leading on the review of transactions within our selling systems and analysing and reporting any findings
Key Responsibilities
- Coaching and mentoring the team Administrators.
- Schedule and participate in Performance Reviews and Appraisals for your team in line with company policy with the support of the team manager.
- Allocate and ensure fair spread of workload for the team of administrators.
- Support the team of administrators to identify and correct incorrect holiday bookings and drive root cause improvements.
- Manage the risk on travel bookings by following the business policies.
- Comply with the department and business policies surrounding finance.
- Leading the performance of a programme of Internal Audit procedures over a 12 month period.
- Be an expert the different trading divisions within the group and their working practices.
- Support business divisions and provide feedback to improve quality and accuracy of the financial records.
- Lead on compliance in line with Package Travel Regulations and produce monthly summaries detailing review findings.
- Support your team with travel insurance administration and queries.
- Monitoring of outstanding balances and insufficient funds
- Take the lead on queries following a supplier failure
- Leading on the review and submission of insurance claims for Supplier/airline failure cover, cruise protection travel cover and travel disruption cover
- Highlight discrepancies/concerns and or risk to Team Leader where branches are being non-compliant
- As part of managing the teams workload, flag where capacity is identified and support the wider finance department with other procedures where additional capacity is required.
Competencies Required
- Previous experience with direct reports.
- Experience as a leader or senior team member within a high performing team.
- Strong leadership skills and a focus on developing other team members
- Target focussed with the ability to meet challenging but realistic targets.
- Expert knowledge of Hays Travel booking process.
- Strong communication, collaboration and influencing skills.
- Problem solving skills and solution focussed.
- Ability to understand and identify risk
- Excellent reporting and reconciliation skills
- Capable of demonstrating excellent levels of attention to deal
- Able to work under pressure and ensure a positive working environment even when this is high.
- Ability to prioritise to ensure deadlines are met
- Expert working knowledge of Microsoft Word and Excel
- Flexible leader in an ever changing department
Technical Skills Required
- Expert knowledge in manipulating large volumes of data using VLOOKUP, logical formulas and pivot tables as well as more complex formulas.
- Expert knowledge of the selling systems and accounting systems.
- Appetite to learn about reporting on Power BI and coaching team members to use this new platform.
